Airport transfers and flight delays: how to plan pickups that do not go wrong
Published October 27, 2026
A smooth airport transfer depends on accurate information shared early. The most useful details are the flight number, the arrival date and time, the number of passengers and bags, and the hotel name and address. Missing or wrong details are the most common cause of missed pickups.
Always give the flight number and not only the time. With the flight number, the transfer company can usually track the actual arrival and adjust for delays. Without it, the driver may leave after waiting for a short period, and the client is left alone at the airport.
Tell the client exactly where to meet the driver. Explain whether the driver will hold a name board in the arrivals hall, whether the client needs to call a number after collecting baggage and how long the driver is expected to wait. Give a phone or WhatsApp number that works from the airport.
Plan for the unexpected. If the client's flight is cancelled or rescheduled, ask them to tell you as early as possible so you can inform the transfer company. Late changes may not be possible, and some companies charge when a pickup is missed, so check these conditions when you book.
Match the vehicle to the group. Count the luggage as well as the passengers, because a family of four with large suitcases may not fit in a standard car. A larger vehicle costs a little more but avoids a stressful first hour of the trip.
