How to handle hotel amendments and name changes after booking

The best way to handle an amendment is to ask for it as early as possible and to check the rate conditions before you promise your client anything. Whether a change is free, chargeable or impossible depends mostly on the rate that was booked.

Start by reading the cancellation and amendment terms of the original booking. Flexible rates usually allow changes before the deadline, while non-refundable rates often do not allow any changes at all. If the terms are unclear, ask your supplier before you speak to the client.

For a name change, find out first whether it is a correction or a different guest. Fixing a spelling mistake is normally simple. Replacing the lead guest with another person may be treated as a new booking by some hotels. Always send the correct name exactly as it appears on the passport.

For date changes, check availability and the new price before cancelling anything. In many cases it is safer to confirm the new booking first and cancel the old one only after the new one is confirmed, as long as the old booking's deadline has not passed.

Give the client a clear answer in writing: what can be changed, what it will cost and by when they need to decide. Quick and honest handling of amendments is one of the easiest ways to build long-term trust.
