BOOKING CHECKLIST

What to check before confirming a hotel booking for a client

Before you confirm any hotel booking, check six things: guest names, dates, room and occupancy, meal plan, cancellation terms and extra fees. Most booking problems come from small details that were not checked at this stage.

Guest names should match the passport or ID of the lead traveller exactly. Dates and the number of nights should be checked twice, especially for late arrivals after midnight, which can shift the check-in date. Confirm the number of adults and children and their ages if the rate depends on them.

Make sure the room type and meal plan on your quote match what you are booking: room only, breakfast included, half board or all inclusive. Bed type is another common source of complaints, so confirm whether the client wants one large bed or two separate beds.

Read the cancellation policy and note the deadline. Also check which charges are paid at the hotel, such as city taxes, tourism fees or resort fees, and tell the client before arrival.

Finally, record any special requests, such as an early check-in, a quiet room or a late check-out. Requests are normally subject to availability and are not guaranteed, so describe them to your client as requests rather than promises.
