Booking hotel rooms for families: occupancy, child ages and extra beds

Family bookings go wrong more often than other bookings, usually because the number of guests and the ages of the children were not entered correctly. Getting these details right at the start prevents extra charges and refused rooms at check-in.

Every room has a maximum occupancy, and it is not just about the number of beds. A room may allow two adults and one child, or two adults and two children, depending on its size and layout. Always search with the exact number of adults and children and the age of each child, because prices and rules depend on age.

Child policies differ between hotels. One hotel may allow children under a certain age to stay free in existing bedding, while another counts them as extra guests with a charge. The age that counts is usually the age on the day of check-in, so check for children who are close to a cut-off.

If a family needs an extra bed or a cot, confirm it with the hotel in advance. These requests are often subject to availability and may involve a fee that is paid at the hotel. Ask about connecting or adjoining rooms if the family wants to stay close together, and remember that these are normally requests rather than guarantees.

Consider whether two rooms or a family room is the better choice. Two standard rooms may cost more but give more comfort for older children, while a single larger room can be better value for young ones. Explain the options simply and let the family choose.
