Group hotel bookings: how agents should handle large room blocks

Large hotel bookings are usually handled differently from individual reservations. Many hotels treat a booking of nine rooms or more for the same dates as a group booking, and they may cancel it if it was made as ordinary individual reservations.

This matters because hotels price and manage groups separately. They may offer special rates, require a contract or deposit, and set their own cancellation and rooming-list rules. A group made up of many separate individual bookings can be flagged as a violation of the booking procedure.

If you are handling a wedding party, a pilgrimage group or a company trip, contact your supplier before booking. Share the destination, dates, number of rooms, room types and your budget so that they can request group rates from the hotel.

Prepare a rooming list as early as you can, with each guest's name, room type and any special needs. Agree the deadlines for the final list and for payments in writing, and ask what happens to rooms you release.

Treat the cancellation and attrition terms with extra care. Large blocks often carry stricter conditions than a single room, so confirm them before you quote a price to the client.
