Questions every travel agent should ask before sending a quote

The fastest way to send a better quote is to ask better questions first. A few minutes of questions at the start prevents several rounds of changes later and shows the client that you take the trip seriously.

Start with the basics: where, when and for how long, and whether the dates are fixed or flexible. Then ask who is travelling, including the number of adults, the number and ages of children, and any elderly travellers or guests who need special assistance.

Ask about budget in a gentle way, for example by asking what range they had in mind. This helps you avoid quoting options far above or below what the client expects. Ask also what matters most: price, location, comfort, food or activities.

Check documents early. Ask whether all travellers hold valid passports and whether they will need visas. This is especially important with children, dual nationals and travellers who have had visa problems before.

Finish by repeating the main points back in writing and asking the client to confirm them. A short summary such as destination, dates, travellers and budget keeps everyone aligned and protects you if the plans change.
