Visa applications: what travel agents should collect from clients
Published October 27, 2026
The safest approach to visa applications is to collect a complete, clear document set from the client before you submit anything. Missing or unclear documents are the most common reason applications are delayed.
Most applications ask for a clear copy of the passport data page, a recent passport-style photo, the traveller's contact details and the planned travel dates. Check the passport's expiry date first, because many countries require it to be valid for several months beyond the trip. Ask the client to send colour scans or sharp photos rather than blurry phone pictures.
Requirements are not the same for every client. They depend on the destination, the visa type and the passport the traveller holds, and they can change without much notice. Never copy a checklist from an old file or another country. Confirm the current requirements with your visa desk or supplier for each application.
Check every name and date against the passport before you submit. A spelling mistake in a name, or a wrong date of birth, can force the whole application to be redone.
Finally, tell the client what happens next. Explain which documents you hold, what is still missing and that approval is decided by the issuing authority, not by the agent. Honest expectations at the start prevent most arguments later.
